Vitalis for polyclinics and clinics with several doctors
One reception, several doctors
- One reception login works for every doctor in the clinic. Reception sees a combined queue with each doctor's patients tagged and numbered separately (A-1, B-1), and can tap a doctor to see only that doctor's queue.
- Check in a patient for a chosen doctor. Reception sees everyone's online bookings together, with a filter by doctor.
- Reception works for each doctor only while that doctor's plan is active. If one doctor's plan ends, reception carries on for the others.
Each doctor keeps their own records
- Every doctor has their own account, patient list, prescriptions, follow-ups and settings. A patient who sees two doctors has a separate record with each.
- Bills go under the doctor they belong to, with that doctor's own numbering.
- Pediatric, Adult, OB-GYN, Infertility and Dental modules can sit side by side in one polyclinic.
A queue that follows each doctor's timings
- The queue is split into sessions from clinic timings. With several doctors working different hours, the combined queue is cut into time bands from every doctor's sessions, with the current session on top and the newest check-in first.
- Each row shows when the patient was added. Doctors are told when reception adds a patient to their queue, even while they are on another page.
Online booking: choose a doctor
- A clinic booking page lists the doctors with their qualification and specialty. The patient picks a doctor and books. It opens with "Welcome to" and the clinic name.
- Each doctor also has their own booking link, and can switch online bookings off while away.
- Reception gets a Booking links list with copy and WhatsApp buttons for every doctor and the clinic page, and a QR code to print for the desk.
- Appointments from every doctor appear in one list in time order, tagged with the doctor.
How to set it up
- Each doctor signs up for their own Vitalis account (90 days free). Reception logins are created in Settings.
- Vitalis links your reception login to your doctors and sets up the clinic booking page on request. Write to support@vitalisemr.com.

- Can one receptionist manage several doctors? Yes, with one reception login linked to every doctor.
- Are records mixed between doctors? No. Each doctor has their own patient list, prescriptions and bill numbers.
- Can patients choose a doctor online? Yes, on the clinic booking page, by specialty.
- What if a doctor leaves or stops paying? Only that doctor is paused. The others carry on.
